Terms and Privacy 

TERMS AND CONDITIONS OF BUSINESS FOR THE PROVISION AND SUPPLY OF EVENT STAFF, GENERATORS and EVENTS BOARDS  and PRIVACY POLICY STATEMENT FOR WEBSITE USE.

1.     DEFINITIONS

 

1.1.   In these Terms of Business the following definitions apply:

 

“ job” means the period during which the Event Staff member is supplied by Wave Staffing to render services to the Client; And for the period a Generator or Events board is supplied. 

 

 “Client” means the person, firm or corporate body together with any subsidiary or associated company as defined by the Companies Act 1985 to whom Event Staff, Generators or Events boards are supplied

 

“Wave” means Wave Staffing InterZone House 77 Magdalen Road Oxford OX4 1RE and its subsidiary businesses - Generator Hire Oxford, and Events Boards Oxford

 

“Charges” includes the rate as proposed for any work commissioned 

 

 

2.     THE CONTRACT

 

2.1. These Terms constitute the contract between Wave and the Client for the supply of Event Staff  by Wave to the Client and are deemed to be accepted by the Client by virtue of its request for proposal and supply. Wave will endeavour to supply the best suited staff for an event based on the following criteria:  Knowledge of the staff''s experience, availability of the staff based on them being 'zero contract' staff, and the timing of the commission of the staff being that, the more time that is given to Wave to supply the better i.e. over 4 weeks. 

 

2.2. These Terms contain the entire agreement between the parties and unless otherwise agreed in writing by the Partners of Wave, these Terms prevail over any terms of business or purchase conditions put forward by the Client.

 

2.3. No variation or alteration to these Terms shall be valid unless the details of such variation are agreed between Wave and the Client and are set out in writing and a copy of the varied terms is given to the Client stating the date on or after which such varied terms shall apply.

 

2.4 Contracts also relate to the supply of Generators and Events boards as commissioned. 

 

 

3.     CHARGES

 

3.1  The Client agrees to pay such hourly charges of Wave. The hourly charges are calculated according to the number of hours - minimum 3 hours - worked by the Event Staff  (to the nearest quarter hour) and comprise mainly the Event Staff ’s hourly rate but also include any travel, hotel, or other expenses as may have been agreed with the Client or, if there is no such agreement, such expenses as are reasonable. VAT, if applicable, is payable on the entirety of these charges.

 


3.2  The charges are invoiced to the Client on a weekly basis and are payable within 14 or 30 (as stated)  days of the date of the invoice, and or proforma invoice(s) where deposits have been requested these should be paid within 48 hours.  .  

 

 

3.3  Wave reserves the right to apply an annual increase to the hourly charges at the beginning of each new calendar year in accordance with the average percentage measure of inflationary increase as calculated utilising the RPI (Retail Price Index) data derived from the previous calendar year, as per being an Oxfordshire Living Wage Payer, and for the sustainability of the business  

 

3.4  Deposits are refundable where applicable, but if an event is cancelled within 3 days of the job a 60% levy of the whole amount of the job will be charged.

If the event 'start' timings change negatively on the day or within the previous 24 hours, we will still charge staff time based on the original commissioned timings.

 

3.5 Charges for generators and boards are fixed and based one off usage and paid within 14 days. . 

 

 

4. INFORMATION TO BE PROVIDED

 

4.1  When sending Event Staff to the Client Wave shall inform the Client of the identity of the Event Staff ; that the Event Staff has the necessary or required experience, training, qualifications and any authorisation required by law or a professional body to work on the job requested.

 

4.2  At no time will photographic imagery of Event Staff be provided by Wave. 

 

4.3 For all Generators supplied the client must clearly detail beforehand the exact devices ( and their KW output) that will be powered. 

 

4.4 For all events boards size options and logos must be provided to Wave at least 3 weeks before the job is to be delivered. 

 

           

5. TIME SHEETS

 

5.1  Where applicable to the Client, time sheets will be provided by the Client and signed by Wave Event Staff otherwise email confirmation will be provided by the client on staff hours worked if different from that commissioned by the Client.

 

5.2  Signature of the time sheets by the Client is absolute confirmation of the number of hours worked. 

 

5.3  If Event Staff are working over a 6 hour period a 20 min break is required and should be arranged accordingly with the event staff member(s) on the day of the job.  

 

5.4 Typically generators and events boards are supplied for a day period ( no more than 12 hours )


6. PAYMENT OF THE EVENT STAFF

 

6.1  Wave assumes responsibility for paying the Event Staff for all jobs commissioned. 

 

6.2  Any on the day additional cash bonuses that are paid directly to the Event Staff are at the Client's discretion.

 

6.3 Cancellation Charge - Wave will levy a 60% charge if an event is cancelled within 3 days of the event. In part to reflect payments that will then be made to staff based on their expectation. 

 

 

7. LIABILITY

 

7.1  Whilst every effort is made by Wave to give satisfaction to the Client by ensuring reasonable standards of skills, integrity and reliability from Event Staff and further to provide them in accordance with the Client’s booking details, Wave is not liable for any loss, expense, damage or delay arising from any failure to provide any Event Staff  for all or part of the period of booking or from the negligence, dishonesty, misconduct or lack of skill of the Event Staff .

 

7.2 Generators are the responsibility of the client whilst on site and no 3rd party should interfere or move the generator(s) once set up. In the event that a generator is stolen a £ 1,000.00 GBP levy will be charged which will be paid within 7 days. Wave staff will be responsible for the set and clear down of the generators after use. The only caveat to this being the client will be instructed on the single button switching off the generator at the end of use.  

 

7.3 Event Boards are the responsibility of the client whilst set up on site, and should not be moved or altered in any way or form once set up. Wave will be responsible for the erection and clear down of the frame for the job commissioned. 

 

8. DRESS CODE

 

8.1  Wave Event Staff will wear dress code as defined in proposals typically:- 

 

 

  • Plain white collared shirt 

  • Black knee length skirts 

  • Plain black trousers 

  • Black shoes 

 

 

 

  • Plain black collared shirt 

  • Black knee length skirts 

  • Plain black trousers 

  • Black shoes 

 

 

 

  • Casual wear , where defined by client 

 

 

 

  • Or branded wear provided by the Client - In this case size details will be provided by Wave.

 

 

 

9. TRAVEL / LOGISTICS 

 

9.1 Wave has a “semi zero emissions” policy with regard to Event Staff travel / logistics.. 

 

9.2  In the main, and where jobs are within the Oxford City boundaries, Event Staff will use public transport to venues / locations, where jobs are outside of the Oxford city boundaries, Event Staff will be transported by the Wave hybrid minibus and or electric taxis supplied by Royal Cars.  . 

 

However in some cases Event Staff will use their own vehicles to arrive at venues / locations.  

 

9.3 Generators and Events Boards will be delivered and collected from the job site by Wave staff. 

 

 

10. TERMINATION

 

10.1  The Client undertakes to brief the Event Staff (either beforehand  via Wave or directly on the day)   sufficiently to ensure the Client’s satisfaction with the Event Staff ’s standards of workmanship. If the Client reasonably considers that the services of the Event Staff are unsatisfactory, the Client may terminate the job either by instructing the Event Staff to leave the job immediately, or by directing Wave to remove the Event Staff . 

 

Wave may, in such circumstances, reduce or cancel the charges for the time worked by that Event Staff , provided that the job terminates. And also provided that notification of the unsuitability of the Event Staff  is confirmed in writing to Wave within 48 hours of the termination of the job. 

 

10.2  If the client on commissioning Event Staff cancels an event within 3 days of the event a 60% levy will be charged to cover loss of ‘planned earnings’ for Event Staff 

 

10.3 If the client cancels an event board commission after printing has taken place all printing costs will be invoiced in full to the client. 

11. Modern Slavery Policy 

​I11.1 Wave Staffing provides events staff for the Oxfordshire ecosystem of events and hospitality. 

 

11.2 Commitment to Anti-Slavery Principles:

 

As a business we have a commitment to preventing modern slavery and human trafficking in all its forms.

And we do not tolerate any form of forced labor, exploitation, or human trafficking within our internal operations or externally to clients and supply chain.

 

11.3 Policies and Procedures:

 

As part of our interview process, and ongoing information/development processes we ensure that Wave Staff are safe within working environments. 

 

11.4 Risk Assessment:

 

We assess the risks of modern slavery within our business operations and supply chain on review month to month with a series of ongoing checks. 

 

11.5 Training and Awareness:

 

The business has a monthly online zoom meeting to connect with all staff to discuss the recognition and response to any potential signs of modern slavery.

 

11.6 Reporting Mechanisms:

 

All Wave staff have a direct channel to the Management Team via email, telephone, whatsapp and/or a monthly zoom call to discuss any concerns for either themselves or any of their colleagues concerning modern slavery and or human trafficking.

 

11.7 Continuous Improvement:

 

The Wave Management Team is committed to ongoing review and improvement of our anti-slavery practices and procedures.

 

11.8 Conclusion:

13. LAW

 

13.1  These Terms are governed by the law of England & Wales and are subject to the exclusive jurisdiction of the Courts of England & Wales.
