Wave Staffing recently supported a VVIP private Christmas Day celebration for 40 guests, delivering a fully managed front-of-house and hospitality team under strict confidentiality for the client and their household.


Client background


The enquiry came via the client’s PA, who needed a trusted partner to quietly elevate Christmas Day service at a high-profile private residence in Oxfordshire.

The key objectives were to:


  • Provide seamless, hospitality for 40 VIP/family guests, including several well-known attendees, without disrupting the intimacy of a family Christmas.​

  • Integrate with the existing household team so that the client could “host” rather than manage logistics on the day.​


Discreet engagement and NDAs


Given the VVIP nature of the household, discretion was a non‑negotiable requirement from first contact.​


  • All Wave team members assigned to the booking were pre-briefed on confidentiality protocols and signed tailored NDAs covering the client’s identity, guest list, residence layout, guest engagement and any personal information observed.

  • No phones were permitted on the floor, and staff were reminded of our zero‑tolerance policy for photos, social posts, or discussing the event externally.​


Working with the in‑house team


In the weeks leading up to Christmas, the PA shared the running order, menu outline, and household preferences so that our event manager could build a detailed staffing and service plan.


  • On the day, our senior supervisor led a joint briefing with the client’s in‑house manager to agree roles, service style, and communication points, ensuring one unified team in front of guests.​

  • Wave staff covered cloakroom, bar, dining service, and quick-turn housekeeping, allowing the permanent team to focus on the family’s normal Christmas rituals and traditions.​


On‑the‑day highlights


Christmas day service ran from early afternoon welcome drinks through to lunch.

  • Guests were greeted individually, coats and gifts discreetly managed, and drinks replenished with “invisible” service throughout canapés and a plated Christmas lunch.​

  • Coordination between kitchen, bar, and floor meant timings were kept to the minute: speeches were served around, not over, and dietary requirements were handled quietly and confidently at the table.​
